Booking Policy

At Align Health Agency, we are committed to providing high-quality care and appointment availability for all of our clients. As a busy multidisciplinary clinic, our practitioners’ time is carefully scheduled, and late cancellations or missed appointments mean that another client is unable to access that appointment slot.

By booking an appointment with Align Health Agency, you agree to the following terms.

1. Booking Your Appointment

Appointments can be booked online, by telephone, by email, or in person at reception.

When booking, please ensure your contact details are accurate, as appointment confirmations, reminders, and any important clinic communication may be sent by email and/or text message.

It is your responsibility to make a note of your appointment date and time once booked.

2. Appointment Reminders

As a courtesy, we may send appointment reminders by email and/or text message. However, reminders are not guaranteed and should not be relied upon as the sole way of remembering your appointment.

Failure to receive a reminder does not remove responsibility for attending, cancelling, or rescheduling your appointment in line with our cancellation policy.

3. 48-Hour Cancellation Policy

Align Health Agency operates a 48-hour cancellation and rescheduling policy.

If you need to cancel or move your appointment, we require a minimum of 48 hours’ notice before your scheduled appointment time.

Due to an increasing number of last minute cancellations we are having to enforce this policy to  allow us enough time to offer the appointment to another client who may be waiting for care.

4. Cancelling or Rescheduling With Less Than 48 Hours’ Notice

If you need to cancel or reschedule your appointment with less than 48 hours’ notice, this cannot be done through the booking app or online booking system.

Please note that contacting us with less than 48 hours’ notice does not automatically remove the cancellation fee. Charges may still apply in line with our 48-hour cancellation policy.

5. Late Cancellations

Appointments cancelled or rescheduled with less than 48 hours’ notice may be charged at the full appointment fee.

This applies regardless of the reason for cancellation, including illness, work commitments, travel disruption, or personal circumstances.

We understand that genuine emergencies can happen, and each situation may be reviewed at the clinic’s discretion. However, the cancellation fee may still apply where the appointment cannot reasonably be filled at short notice.

6. Missed Appointments / Non-Attendance

If you do not attend your appointment and have not contacted us in advance, this will be treated as a missed appointment.

Missed appointments may be charged at the full appointment fee.

Future appointments may need to be paid for in advance before further bookings can be made.

7. Late Arrival

Please arrive on time for your appointment.

If you arrive late, your practitioner may still need to finish at the scheduled time to avoid impacting the next client. In this case, the full appointment fee will still apply.

If you are very late, we may be unable to carry out the appointment, and this may be treated as a late cancellation or missed appointment.

8. New Client Appointments and Consultation Forms

For new client appointments, we may ask you to complete consultation forms before attending. These forms help us understand your health history and ensure your practitioner can prepare appropriately.

Failure to complete required forms before your appointment may reduce the time available for your consultation or, in some cases, mean the appointment needs to be rescheduled. The cancellation policy may still apply if this happens at short notice.

9. Payments and Outstanding Balances

Payment is due at the time of booking or at the time of your appointment, unless otherwise agreed.

Any cancellation fees, missed appointment fees, or outstanding balances must be settled before further appointments can be booked.

10. Practitioner Availability

While we do our best to keep all appointments as scheduled, there may be occasions where we need to move or cancel an appointment due to practitioner illness, emergency, or circumstances outside our control.

In these situations, we will contact you as soon as possible and offer an alternative appointment.

11. Agreement to This Policy

By booking an appointment with Align Health Agency, you confirm that you have read, understood, and agree to this booking and cancellation policy.
